On our way to getting ‘stamp’ of approval

July 11th, 2011

With our Microsoft partnership renewal due in September, the past few weeks have seen everyone at SmarterWays busily swotting up and revising for our Microsoft exams.

In the past we have simply been just ‘Microsoft registered partners’ however with an ever-expanding team, we want to upgrade our partnership and our services to our customers and so gaining gold or silver partner status will show just how qualified the SmarterWays staff really are. Our new partnership status will also allow us to compete with some of our much bigger competitors.

Our aim is to provide the most cost-effective solutions and products, we make sure that we always stay on top of the latest innovations in technology and do this by taking regular exams and keeping up-to-date with the latest of the Microsoft products.

With an expanding list of customers, comes an expanding team of SmarterWays technicians.

Not only are we looking to develop our relationship with Microsoft through gaining an accredited partnership status but we are also looking to invest in staffing. The latest government budget, although not generous to some sectors, was generous to the IT sector and that has meant that we are able to benefit from the Microsoft Apprenticeship scheme – we are currently looking to recruit a young apprentice that will spend some time on the job with us and the rest of the time in the classroom learning all the skills needed to be a certified technician and be able to provide our customers with the best service possible.

There are many benefits of being a Microsoft partner; receive expert advice and guidance from Microsoft consultants for training, technical pre-sales and delivery support. Not just this but being partnered and associated with Microsoft adds legitimacy to a company and what we can do.

Passing the Microsoft exams are crucial in showing that we are confident in service offering and fully clued up on what we actually offer people – all sectors of the business are involved in our membership renewal, including all of the technicians, the directors and the sales and marketing team.

As partners, it is incredibly important for everybody in SmarterWays to have a good knowledge about Microsoft.

Thank you

Is your server serving you?!

June 13th, 2011

Does your business have a server? You might think that your business is too small for a server… you might have just started a business or there could be a few of you and you will most likely feel you can get by with sharing files using email, USB drives and through other means.

Every company no matter how big or small needs a server. Having a server in place while your business is in its early stages will ensure you are ready for growth.

A server is an important part of a network that performs a number of critical functions which can include:

- Control who has access to network data through user names.

- Provide shared access to files

- Provide central email and collaboration management

If you are not using a server, it is very difficult to share files throughout your company and manage who has access to those files. For example, a server OS —such as Microsoft Small Business Server — enables you to designate roles to your 50 employees. Five employees could be in accounting, 10 in sales, five in support and so on. If you designate everyone in sales to have access to the customer-sales-report-2008.xls file, staff in support would not have access to that file.

There are more than likely a lot of files that you don’t want all of your staff to have access to. With a server, you can determine who has access to what, you can restrict access to users or different departments – the options with a server are endless. The server enables you to limit access through assigning user names and passwords to specific files or even entire folders.

In regards to file sharing, the server is the central “filing cabinet” of your company’s information. If individual users save files to their computer hard disks, the files are not reliably or easily accessible to others. With a server-based network, if the local computer is turned off, you can still access the files. Storing files on the shared server ensures that they are more secure and accessible to all authorised users at any time.

Since your server is such an integral part of your network, it’s important to work with an expert to ensure that it is maintained. In the same way that you regularly maintain your car, your server needs regular maintenance too. As part of your server support, the SmarterWays technicians take care of the server efficiency as well as looking at security, back-up, applications and much more.

The SmarterWays technicians will make sure you always have enough hard disk space and enough memory access to make sure the response time of your server does not become slow and unstable.

Email is probably one of the most often-used applications for businesses and your server can be used to manage your company’s email system. Depending on the email program you use, for example Microsoft Exchange, you not only have email, but also advanced collaboration features.

Working closely with Dell and Microsoft, we only provide the best and most up-to-date solutions to our customers so we are now dealing with Windows SBS 2011 – offering the most current solutions possible.

If you don’t have a server, please get in touch with our SmarterWays team. We will be able to give you a technology audit to guide you into the type of server you need, how best to configure your network, and they can review your entire technology needs and help you create a technology plan for what are the best solutions for your business.

Are you encrypted?

May 16th, 2011

Encryption for laptops and hard drives has been around for many years however it is still largely unused by companies to help secure data and prevent misuse.

Dell commissioned a survey in 2008 that showed that thousands of laptops are lost every week in the busy airports around the world. In London Heathrow alone, over 900 laptops were being lost. Worryingly around 40% of people said that their data was backed up and even more worryingly, only 10% of those surveyed employed any sort of secure full disk encryption to protect their data. Not only are over 900 laptops lost… so is all of their data and information worth in some cases, millions.

Encryption means converting information using a code that prevents it being understood by anyone who isn’t authorised to read it. Files, emails, even whole hard disks can be encrypted.

Encrypting email and files means that only authorised users are allowed to access them. This can be a powerful guarantee of privacy and security.

When emails are encrypted you get the additional benefit of being able to validate who sent the message and check that it hasn’t been tampered with en route.

Encryption is also used for ecommerce, wireless networking security and remote access to prevent eavesdropping andspoofing.

There are lots of different techniques for encryption. The stronger the encryption the harder it is for a hacker to decrypt the code using a computer. The strongest codes are, for all intents and purposes, unbreakable but simpler kinds of encryption can be broken using a regular PC with the right tools.

Implementing encrypted email or encrypted files will take a little time and can be technically demanding. However, for information that needs to be kept completely secure, encryption is the only way to go. We can help you overcome these barriers with our qualified and experienced SmarterWays technical team who can offer you secure encryption options for your digital assets. Some of these include:

  • Instant protection – deployed in days, easy to install, with minimal impact on IT staff
  • Expert implementation by a team of certified information system security professionals
  • Guaranteed password recovery
  • Complete control – centralised management of security functions and policies
  • Less hassle for you, as we provide 24/7/365 availability for user and technical support
  • Lower TCO, cost flexibility – no expensive data centres or investment in hardware/software and charged on per user per month
  • A green solution – run from efficient servers in environmentally friendly data centres

If this is something that interests you, please don’t hesitate to get in touch.

Flying High!

May 6th, 2011

Think clouds were something that belonged in the sky? Not anymore!! In recent years, cloud computing has really taken off and now included in all aspects of IT.

But what is cloud computing? In the simplest of terms, it is IT-as-a-Service. Instead of building an IT infrastructure of your own to host databases or software, a third party hosts them in its large server farms. Your company has access to its data and software over the internet.

Though cloud computing is only a very recent thing, there have already been many noticeable benefits:

  • Cheap: IT providers are able to host services for multiple companies; sharing complex infrastructure is cost-efficient. There is no investment in internal or external hardware you simply pay only for what you actually use.
  • Quick: The most basic cloud services work out of the box; for more complex software and database solutions, cloud computing allows you to skip the hardware procurement and capital expenditure phase – it’s perfect for start-ups.
  • Up-to-date: Most providers constantly update their software offering, adding new features as they become available.
  • Scalable: If your business is growing fast or has seasonal spikes, you can go large quickly because cloud systems are built to cope with sharp increases in workload.
  • Mobile: Cloud services are designed to be used from a distance, so if you have a mobile workforce, your staff will have access to most of your systems on the go.

Many of the key players in the IT industry have recently noted the advances in cloud computing and have said that this is the year to ‘get your cloud strategy together’. IT is now a utility, consumed like electricity and water… it is a necessity in modern day life especially in the business environment which emphasises the importance of keeping up to date and ensuring that information is stored in the safest place possible.

The latest SmarterWays product that utilises cloud computing is the Acronis Backup and Recovery 10 Online which sees backup and recovery being stored online and works out far cheaper for companies.

Acronis have just brought out a new recovery solution to address on-site and local backup issues… ‘Acronis Backup and Recovery 10 Online’. It is an innovative solution that provides an online, remote, secure location so users can store files and system image backups without having to invest in additional hardware such as remote data stores for the remote redundancy of backup files. One console manages all backup and recovery efforts regardless of the data’s actual location.

Unlike a lot of other online backup services, Acronis Backup and Recovery 10 Online does more than just protect your files. In technical terms, the solution leverages Acronis’ patented Disk imaging technology and Cloud technology which the SmarterWays technicians explain ‘It basically means it provides protection for your company’s whole systems, operating systems and applications’.

Nowadays, the art of retaining and building relationships with customers is key to any successful business. With the recent downturn in the economy, businesses need to do everything they can with the relationship of their customers and at SmarterWays we believe we have found just the software to help us do this… Legrand.

Building and managing relationships is a company-wide business strategy that is not simply used for sales activities but also for marketing, customer service and technical support. Customer relationship management is a widely used strategy for managing a company’s interactions with customers, clients and sales prospects.

The overall goals are to find, attract, and win new clients, nurture and retain those the company already has, entice former clients back into the fold, and reduce the costs of marketing and client service.

After trialling a number of different CRM software programmes, the SmarterWays team have finally found something which benefits all of the staff and is incredibly simple to use. Legrand offers a rich feature-set, the kind you’d expect from the upper end of the CRM marketplace, but at a price that growing and mid-sized businesses can afford. Legrand CRM can not only help you take control of your information but, more importantly, it can help you deliver better customer service, improve your marketing, generate higher quality leads, improve efficiency, reduce costs and increase sales.

It’s straightforward to integrate into your business and only takes a fraction of the setup and training that other CRM systems demand and at SmarterWays we like to help users by demonstrating the software through a live webinar and our team are highly trained in the programme meaning if ever you were to have problems, we will be able to help and resolve them for you.

Import wizards will help bring your data into Legrand CRM and your sales people can create new accounts on-the-fly without needing access to the accounting system.

With Legrand you’ll never miss the opportunity to follow up leads and turn them into customers through a variety of different channels that you use including web and cold calling amongst others.

Legrand CRM allows you to shift your focus to improving your business, rather than wasting time and money trying to navigate complex systems.

Budget 2011… Our thoughts

March 23rd, 2011

Well… this afternoon has seen the announcement of the 2011 budget.

Whilst we can’t help being annoyed by some of the demands and restrictions on parts of the economy – as are most – we are a little relieved for IT and for small businesses like ourselves and also excited for the potential given to our sector.

Being the business we are and specialising in web design, email marketing, IT support and server installations (to name but a few!) we obviously rely on IT for the efficiency within the company.

What we at SmarterWays are also excited about is the apprenticeship schemes that the new budget is allowing for. With over 40 years of managerial IT experience, the SmarterWays staff are more than qualified to train young apprentices and are fully encouraging the push to get young people into IT.

The budget has also given businesses a tax break, freeing up their cash flow and allowing companies to invest in their IT infrastructure – it is obviously a lot more expensive to build up an IT department within a company and this is why SmarterWays encourage companies to out-source their IT needs. At SmarterWays we act as the on-hand IT company that are out of site but never out of mind, we dedicate our services to our customers 24/7 365 days of the year which is why it may be worthwhile to take a look at what we can offer your company – especially at this time.

We’d love to be able to help all of you so please get in touch and lets work together.

Thank you

March 23rd, 2011

With social media being the latest hub of excitement for not only everyday users to keep in touch with each other but also now used for marketing campaigns by companies to target particular traffic… it is no surprise that hackers are starting to get involved.

Just this morning, Kaspersky have warned about the latest malicious virus going about and it can be found on Facebook chat messages that look like the following:

Many users see Facebook as a trusted site and so might click on the link out of interest which will then lead them to quizzes and eventually the user having to pay out money.

Due to the nature of SmarterWays as a business, we look after our client’s social media, websites, IT support and much more.

Our social media and Internet marketing team help users with their different activities online including Facebook, Twitter, LinkedIn, PPC campaigns and much more. Because of the experience we have in this field it means that SmarterWays can manage your media so that it is used to full effect and that not only do your accounts avoid being intercepted by the viruses but also that your followers, fans and potential clients don’t receive spam from you.

Working so closely and in conjunction with Kaspersky also gives us a lot of confidence in avoiding viruses and threats both online and offline. When a new virus is caught, Kaspersky will ensure they can do everything about it for example telling Facebook and making sure that any users spreading the link must be removed straight away. They also try and ensure that their anti-virus will eliminate the threats that the virus contains and protect your computer and operating systems.

To find out more about the protection Kaspersky can give you and about the help that SmarterWays can give you with your internet marketing and social media then please call us or look through our websites for more details.
